How to write an estimate

  1. Add your business name, address, and (optionally) a logo so the quote looks like you.
  2. Enter who you’re quoting, the estimate number, the date, and how long the quote stays valid.
  3. List the work — description, quantity, and rate. The totals update live as you type.
  4. Set tax or a discount if you need them, add a note about scope or terms, then download the PDF.

What every estimate should include

A clear estimate has your business details, the client’s details, a unique estimate number, the date and an expiry (most quotes are good for 30 days), an itemized breakdown of the work, and the total — so there are no surprises later. Spell out what’s in scope and what isn’t; a sentence now saves an awkward conversation after the job. When the work is done and you’re ready to bill, switch over to our free invoice generator.

Estimate vs. invoice — what’s the difference?

An estimate is your proposed price before the work: a quote the client approves so everyone agrees on cost up front. An invoice is the bill after the work, with a due date and payment terms. Same line items, different moment — which is exactly why the smoothest workflow is to write the estimate, get it approved, then convert it straight into an invoice instead of starting over. Frequently asked questions

Is the estimate generator really free?

Yes — no signup, no email wall, no watermark. Make as many estimates as you like.

How long should an estimate stay valid?

Thirty days is the usual default and what this tool prefills — long enough for the client to decide, short enough to protect you if your costs change. Adjust the “valid until” date to whatever suits the job.

Can I turn an accepted estimate into an invoice?

Not from this one-off PDF tool — but that’s the whole point of Fee-Lion. Send the estimate, and when your client approves it, convert it to an invoice in one click — Fee-Lion then sends it, reminds late payers, and collects via Stripe. Free for 14 days, no card.
